Privacy Policy

Asante Tours & Travel ("Asante", "we", "us" or "our") is a licensed tour operator based in Kampala, Uganda, arranging private safaris across Uganda, Kenya and Tanzania. We know the information you share with us when planning a trip is personal, and we take its protection seriously. This policy explains what we collect, why we collect it, how we use and safeguard it, and the choices you have. It applies to our website, our email and phone correspondence, and every booking we handle on your behalf.

1Our accountability

Asante is responsible for the personal information in our control. Where we ask a third party — an airline, a lodge, a ground operator or a payment provider — to process information so that we can deliver your trip, we share only what is necessary and expect them to protect it to a comparable standard. Our management team oversees privacy compliance, and any member of staff can direct your query to the right person.

2Why we collect information

We collect and use personal information in order to:

  • respond to your enquiry and prepare a personalised itinerary and quote;
  • make and confirm reservations with lodges, camps, airlines, parks and ground operators;
  • arrange gorilla and chimpanzee trekking permits, park entries and internal flights;
  • process deposits and balance payments, and issue receipts and invoices;
  • send you trip documents, pre-departure information and travel updates;
  • keep in contact with you and your emergency contact while you are travelling;
  • meet health, safety, immigration and other legal requirements;
  • respond to feedback, resolve complaints and improve our service;
  • send you occasional news or offers, where you have asked to receive them.

4Limiting what we collect

We collect only the information we need for the purposes described above, and we collect it by lawful and fair means — usually directly from you by email, phone, web form or booking form. We do not sell personal information, and we do not buy it from data brokers.

5Use, disclosure and retention

We use your information only for the purposes for which it was collected, or as the law requires or permits. We disclose it to:

  • Travel suppliers — lodges, camps, hotels, airlines, park authorities, permit offices and ground operators — so they can hold and deliver your reservation;
  • Payment processors and banks, to take and reconcile payments;
  • Professional advisers such as our accountants, auditors, insurers and lawyers, where reasonably required;
  • Government and regulatory bodies, where we are legally obliged to do so, or to protect the safety of travellers;
  • a successor organisation, if our business is reorganised, merged or acquired, under equivalent privacy commitments.

We keep personal information only as long as needed to fulfil your trip and to meet our legal, accounting and tax obligations, after which it is securely deleted or anonymised. Anonymised and aggregated data, which does not identify you, may be kept and used to understand demand and improve our itineraries.

6Keeping information accurate

Passport names, dates and traveller details must exactly match your travel documents. We rely on the information you give us being correct and current, and we will update our records on your request. Please tell us promptly if anything changes before you travel.

7How we safeguard your information

We use reasonable physical, organisational and technical measures to protect personal information against loss, theft and unauthorised access — including restricted access on a need-to-know basis, secure email practice, and not retaining full card numbers after a payment has been processed. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. If you believe your information has been compromised, please contact us immediately.

8Cookies, analytics and the website

Our website uses a small number of cookies and similar technologies to keep the site working, remember your preferences, and understand how visitors use our pages so we can improve them. These identify your browser or device, not you personally.

We use privacy-respecting website analytics to see which pages and itineraries are popular and where visitors have difficulty. We may also load embedded maps on our itinerary pages, which are served by a third-party mapping provider subject to its own terms.

You can set your browser to refuse some or all cookies, or to alert you when a site sets one; parts of the site may then not work as intended. We do not use our website to build advertising profiles, and we do not respond to browser "Do Not Track" signals at this time.

9International transfers

Your safari may span Uganda, Kenya and Tanzania, and the suppliers who deliver it are located in those countries and occasionally elsewhere. To make your bookings we transfer the necessary information to them, which means your information may be processed outside your home country, under different data-protection laws. We share only what each supplier needs to hold and deliver your reservation.

10Your choices and access

You may, at any time and free of charge:

  • ask what personal information we hold about you and request a copy;
  • ask us to correct information that is inaccurate or out of date;
  • ask us to delete information we no longer need to keep;
  • opt out of marketing emails — either by using the unsubscribe link in any such email, or by writing to us.

We will respond as soon as reasonably practicable. We may need to verify your identity first, and we may decline a deletion request where we are required to keep the information for a pending trip, a payment, or our legal and accounting obligations. Even after you opt out of marketing, we will still send you essential messages about a trip you have booked.

11Children

Our website is intended for adults. We do not knowingly collect personal information from children through the website. Where children travel with you, we collect their details from the booking adult for the purpose of the trip only. If you believe a child has provided us information directly, please contact us and we will delete it.

12Questions and complaints

If you have a question about this policy, or a concern about how we have handled your information, please write to us at info@asantetours.com with a description of the issue. A member of our team will look into it and respond to you directly, and we will make a good-faith effort to resolve any complaint in line with applicable law.

13Changes to this policy

We may update this policy from time to time to reflect changes in our practices or in the law. The current version is always posted here with its "last updated" date. Where changes are significant we will take reasonable steps to notify you. Continuing to use our website or services after an update means you accept the revised policy.
